Creating FunnelFLARE Email, SMS, and Voicemail Drop Personal Templates

FunnelFLARE provides some great outbound call capabilities. To ensure you are making the best use of your sales time, FunnelFLARE provides some nice call completion automation. When you are about to complete your call you can save time by executing one of your configured templates. For example, 

  • drop a voicemail if you get an answering machine
  • Send a follow-up email if you cannot connect
  • Send a tracked SMS with some additional information for the prospect 

As well, templates can save you a lot of time during your day to day selling activities. 

Voicemail Drop

One of the best use cases of templates is during calls. Thus FunnelFLARE has great call completion automation templates

 

What is a voicemail drop?

If you make a call and get the contact's voicemail, you can end the call and let FunnelFLARE leave the voice mail for you! You can go onto your next call while FunnelFLARE 'drops' one of your pre-recorded voicemails into your prospect's voicemail. 

How does it work?

When you make an outbound call using FunnelFLARE's Chrome extension, you can set up an automatic messaging/voicemail drop that will be triggered when you end the call.  You can create (and then choose from) the following call completion automation combinations:

  • Voicemail Drop + SMS message template (can only be used during an active call)
  • Voicemail Drop + Email message template (can only be used during an active call)
  • SMS message template only (exposed in non-call scenarios as well as during calls)
  • Email template only (exposed in non-call scenarios as well as during calls)

The templates are created and managed in your FunnelFLARE account and triggered from the FunnelFLARE Chrome extension (install now).

 

Setting up Templates (In FunnelFLARE)

Step 1: Create your templates

In FunnelFLARE, browse to your user profile.

Step 2: Click [Preferences],  on the Personal Templates section, click New

Step 3: Choose Template Type

Note: If you do not have an IMAP connection configured on your user profile, all automated emails sent using call completion automation will be sent using FunnelFLARE. This implies that any emails sent will NOT be recorded on your email server. We recommend setting up the IMAP connection.

  

Whether you choose SMS or Email, you can use dynamic fields that pull from the contact's data. All links will be tracked and the email as well will have open tracking/link click tracking (and reply tracking if configured). 

 

Voicemail Drop Templates

If you are using the dialer (Chrome Extension) to make a call, and you get a voicemail prompt, "Leave your message after the tone", when you hear the tone you can execute a call completion template that has an attached VM recording. This allows you to end the call and let FunnelFLARE play your pre-recorded message while you type a follow-up email/SMS. To configure the voicemail drop, you will need to record a message (mp3) on your computer and upload the recording into your FunnelFLARE call completion template.

Using Call Completion Automation

Once you have your call completion automation templates configured, the templates are accessed via the Chrome Extension. Once you have a phone number entered, click the 'dial' button

The dial-pad buttons will change. Your templates are accessible by clicking the Voicemail icon

If you click the call completion automation button (Voicemail icon) your list of automation templates will be listed:

mceclip10.png This indicates a template that has a Voicemail and an Email Template. When you click this icon, the call will be disconnected from the headset and an email editor will display with your email template for editing. Your pre-recorded voicemail will be played into the contact's voice mailbox.

When you click this icon, the call will be disconnected from the headset and an SMS editor will display with your SMS template for editing. Your pre-recorded voicemail will be played into the contact's voice mailbox.

These templates show up in Power Dialer sessions as well:

Note: When you instantiate a call completion template that includes a voicemail, your pre-recorded message will start playing on the connected call immediately. Even though your call is disconnected from the ongoing call, the call continues while your pre-recorded message is played. Once the pre-recorded message has completed playing, the call will be terminated. Thus it is important to wait until you hear the 'tone' before you execute the automation.

 

Using your non-voicemail drop Templates

Your templates can be accessed from several places

  • Prospect Insights
  • In FunnelFLARE
  • In your CRM
  • During calls

 

On Prospect Insights

You can access templates that are of the type Email or SMS (not voicemail drop) from within Prospect Insights. Both via the 'who is on my website' and via the CRM (I) icons injected with the Chrome Extension

Most places within your CRM where an email address link exists, you can access your Email Templates by clicking on the injected envelope icon

 

From the Power Dialer

The Email and SMS templates are exposed in the Powerdialer before the call begins. In the Power Dialer (not during a call), the Email and SMS templates are accessible on the bottom of the screen:
